On behalf of a prestigious international Family Office, we are currently seeking a highly professional, hands-on and discreet Personal Assistant to provide executive-level support to Principal
PERSONAL ASSISTANT – FAMILY OFFICE
The successful candidate will provide comprehensive personal and administrative support within a small, trusted and highly dynamic environment. This role requires exceptional attention to detail, a strong sense of ownership, flexibility and the ability to manage sensitive matters with absolute discretion. The position is not corporate in nature and best suits individuals who are pragmatic, responsive and comfortable operating in a fast-changing, high-responsibility context.
KEY RESPONSIBILITIES:
- Actively managing personal and family-related matters (e.g. coordination with staff, drivers and external service providers)
- Assisting in the coordination of household staff across multiple properties
- Managing and prioritising meetings, appointments and complex day-to-day logistics
- Handling all correspondence (telephone, e-mail and post) with efficiency and sound judgement
- Managing administrative tasks, invoices, payments and records with strong cost awareness and attention to detail
- Organising complex travel arrangements, often at short notice, and preparing detailed itineraries
- Preparing expense reports and reconciling credit card statements with accuracy and ownership
- Maintaining and continuously improving filing systems and internal databases
- Managing highly confidential company and personal information with discretion
- Providing support and cover for other team members when required
REQUIREMENTS:
- Proven experience supporting VIP / UHNW Families, Senior Executives at Board / CEO level
- Experience gained within Family Offices, private households, Luxury Hospitality, or similarly demanding environments preferred
- Strong sense of responsibility and ownership, particularly in relation to costs, logistics and execution
- Background in accounting, bookkeeping or legal documentation considered an advantage
- Ability to manage multiple priorities in a fast-paced, high-responsibility context
- University degree preferred
- Excellent IT skills (MS Office: Word, Excel, PowerPoint, Outlook)
- Strong interpersonal and communication skills
- Outstanding organizational and time management abilities
- Meticulous attention to detail
- Proactive, reliable and adaptable approach
- Sound judgement and a strong sense of professional discretion
- Fluency in Italian and English (spoken and written)
- Knowledge of German and/or French is considered a plus
